Fatima C. from Bremerhaven sent me this email asking for help with a translation for her boss. This is what she wrote: “We have this list of German rules for meetings:
- Drücken Sie Ihre Gedanken klar und prägnant aus.
- Bleiben Sie beim Diskussionsthema und schweifen Sie nicht ab.
- Hören Sie anderen Teilnehmern aufmerksam zu.
- Gehen Sie positiv auf die Ideen der andern ein und führen Sie deren Gedanken weiter.
- Tragen Sie zur Entschlussfindung bei.
- Reagieren Sie stets besonnen, weder aggressiv noch empfindlich.
- Stellen Sie präzise Fragen, um spezifische Antworten zu erhalten.
My boss wants me to translate them into English, as many of our meetings are in English. Also, I act as a facilitator at these meetings, and I need some useful phrases to follow these rules through. I’m sure Fatima is right – this is something many of us need. So for all of you, here is my English version of the seven meeting rules. It is followed
by some phrases you will find useful if you’re facilitating the meeting.
- Please say what you have to say clearly and precisely.
- Please don’t lose sight of and drift off the topic being discussed.
- Listen carefully when others talk.
- Be positive about others’ ideas and help develop them further.
- Help in the decision making process.
- Keep a cool head and don’t be aggressive or sensitive when you react to others
- Ask precise questions in order to get specific answers.
